Executive Assistant

To support its leadership team and ongoing initiatives, we are looking for an Executive Assistant – a proactive, detail-oriented professional who will act as a true force multiplier for leadership. This role goes beyond scheduling and administration; it combines strategic coordination, operational support, and people-focused execution.
This position is ideal for someone with a business-oriented background who understands the “big picture”, enjoys working at the intersection of people, processes, and technology, and knows how to keep things moving forward.
Responsibilities:
Strategic Leadership Support:
➢ Act as a primary gatekeeper for leadership schedules, aligning daily priorities with broader strategic goals;
➢ Support high-level communication, preparation, and follow-up to enable effective decision-making;
➢ Ensure clarity, structure, and continuity across leadership-driven initiatives.
Project & Business Coordination:
➢ Coordinate projects, initiatives, and stakeholders by organizing meetings, discussions, and follow-up actions;
➢ Actively track tasks, deadlines, and commitments across teams, ensuring accountability and visibility;
➢ Proactively identify risks, bottlenecks, or inefficiencies and support their resolution;
➢ Maintain clear, concise, and effective communication between internal teams and external stakeholders.
HR & Operations Administration:
➢ Manage essential company documentation and operational processes;
➢ Support HR-related activities, including documentation, invoicing, and the full recruitment lifecycle — from candidate sourcing to onboarding;
➢ Ensure alignment with Bulgarian labor legislation and internal policies;
➢ Support compliance-related activities, including EU-funded projects and technical reporting, where applicable.
Events, Culture & Ad-Hoc Support:
➢ Assist with the organization of periodic internal and external events (forums, recurring meetings, off-sites);
➢ Be present in the office during key moments such as important deliveries or milestone activities;
➢ Act as a flexible problem-solver, addressing ad-hoc challenges with initiative and a “can-do” mindset;
➢ Contribute to a positive, structured, and people-focused company culture.
Requirements:
➢ Business-oriented background or previous experience in coordination, operations, executive assistance, or similar roles;
➢ Solid experience with HR documentation and good working knowledge of Bulgarian labor law;
➢ Strong organizational and time-management skills with the ability to manage competing priorities;
➢ Proactive, hands-on attitude and problem-solving mindset;
➢ Tech-savvy mindset with genuine interest in working in a technology-driven environment;
➢ Clear, straight-to-the-point communication style and confidence working with different stakeholders;
➢ Full professional fluency in Bulgarian and English (written and spoken).
Nice to have:
➢ Experience with or exposure to EU projects and reporting.
